  1. Vehicle Administration

This is the core module of the entire package, which provides a very user-friendly screen, which helps in building the vehicle database.  This module helps the user of the system to keep track of the vehicle inventory, with their different classification such as make, model, class etc.  The information is updated from other modules of the system like day-to-day activities etc.  This facilitates the user to take necessary corrective or preventive actions in maintaining fleet and provides necessary MIS for the organization. Moreover the system acts as a decision support system by timely furnishing the required information and messages.

Standing Order: Displays the information of pending actions or the complete actions pertaining to the vehicle, helping the user to act on the actions without any further delays.

General Information: Holds the general information of the vehicle, i.e. makes, classes, registration number etc.

Technical Details: Allows the user to record the technical information about the vehicle such as fuel type, chassis number, etc.

Purchase: Allows the user to record the purchase information about the vehicle (Hire/ Cash).  It allows for computerized control of hire purchase activity, by keeping information about the hire purchase and payment of the bills time to time.
 
Contract: Contract is a case where the vehicle is taken on contract from any party.  It allows the user to keep the information about the contract vehicle in the organization, the duration, or the odometer miles/kilometers for which the contract is made and their payments duration etc.  This facilitates the user in timely renewing the contract etc if required.

Image: You can also have an image stored for every vehicle.  System also provides the facility to maintain a database for each and every vehicle in the organization.  It also allows the modification of the image as and when required.

Disposal: Disposal is one of the activities, which is a part of this module.  This takes care of the disposal of the vehicle; once the vehicle is disposed the system prevents any further transactions to the vehicle record but still permits its data to contribute to the overall statistical reports and analysis. This also enables the user of the system to know the profit or loss on the vehicle by automatically calculating the profit or loss.

Furthermore, Fleet Administration holds a complete history of cost center / department movements for each item (including purchase and disposal details), as well as producing all documents to support fleet administration.


  • Driver Administration

 

This module facilitates the user in gathering the complete information about the driver.  This also facilitates the management in deciding the allocation of a task to a driver based on the past experience and track record.  The above things can be done effectively because the information related to the licenses and endorsement on the licenses is captured in the system.  The system further reminds the user about the renewal of the licenses etc automatically, which helps the driver and the management from being a defaulter at any point of time.  The module also keeps track of the actions to be taken in the future date, which works as a diary/history.

 

Standing order: Displays the pending/complete actions related to a driver such as the license renewal etc.

General Information: To maintain the details about the driver in the system and allocate a driver to the task.  Holds general information about he driver like name, address, next of kin etc.

License Information: Holds the details about the license a driver holds so that it can be used during the allocation of a job or in case of emergencies.

Endorsement on the license: This area holds the information about the endorsement that is made on the license.  This facilitates understanding the driver capabilities.

Image: This part holds image of the driver, which can be used in case of necessity.


  1. Accident Administration

 

In this module the user can gather complete information related to the accidents and helps in managing the post accident activities very effectively and efficiently.  The System provides a mechanism to take care of all the follow-up activities, required to handle the scenario once any accident takes place, e.g. Insurance claims, sanctions, and any actions to be taken pertaining to the accidents or claims.  Moreover this also keeps all the financial aspects of the damage caused on a vehicle due the accidents.

Standing order: To facilitate the user to take prompt actions on crucial scenarios. This unit works as a scheduler and prompts instructions of pending activities against the accident.  This ensures chances of missing any activity impossible. The user logs in and can find out all the pending activity and start acting thereof e.g. following up with the insurance company, settling the activities outside court, any meeting/ actions that one need to take etc. etc.

Accident Information: Holds the detail information about the accident i.e. the road type the vehicle condition damage etc.

Insurance claims: Holds the information about the claims made for the accident occurred against each insurance policy.  This facilitates to keep track the claims made, follow up of the pending claims, and close the sanctioned claims.

Insurance sanctions: Keeps the information about the sanctions and the amount received from the insurance company for the claims made by the company. This helps the user to follow it up with the insurance company for the claims made and know the status.

Settlement:  This is used in case of any settlement is made outside court.  Also takes care of the refund etc if required.

Actions: Actions are similar to that of standing order but of less priority and can be recorded here.

Image: This module also allows storing the image of the accident.


  1. Finance Administration

The finance administration module provides facility to capture different transactions taking place effecting the financial implications of business in managing fleet. Financial aspect being the most important aspect of the business is handled with proper integrity and security.  The module captures all the transactions like (insurance, vouchers, Payments, etc).
The system takes care of the following points.

  • Every accounting document is identified uniquely.
  • Every payment is controlled automatically so that not access or duplicate payment is possible.
  • Unauthorized entry in to the system is denied with the help of user rights module to avoid misuse of the financial module.

Standing order: Displays the pending information related to the finance administration i.e. the payment pending etc.

Insurance:  Allows insuring the vehicle, and holding the information related to that for the claims to be made in case of the accident occurrence. This can hold any type of the insurance that is covered for a vehicle.

Payment: Facilitates the payment of the expenses, tax, hire purchase etc from on payment screen.  Makes the user to do every payment from one place for the bills received.  Bill to bill adjustment is done in this case so that one can under stand which bills are pending at what time.

Budgeting: Allows the user to budget for the period on a department or vehicle or expenses or cost center or at any level to control the expenses on the vehicle.

Tax applicable: Allows the user to assign tax applicable to the vehicle or the class of the vehicle.

Depreciation: Sets the depreciation for a period.  This facilitates the calculation of the profit and loss during the sale or scrap of the vehicle and creates the accounting transaction when it is required.


  1. Day-to-day Activities

 

The day-to-day events in managing fleet are carried out with the help of this module. Almost all the transaction which are required in running the day-to-day operations of medium to large size fleet are covered in the system such as (Allocation, requisition, Material receipt note, purchase order, Log book, etc.). Further these transactions can be customized based on the user requirement very easily.  Since the day-to-day operations requires effective reporting and MIS to control and run the fleet efficiently, system has provided way of handling the misuse of resources by providing automatic alarms and reports. This module also facilitates the administration of vehicle by providing a framework for specifying items to be bought, and a reporting mechanism for tracking the progress and status of orders. Vehicle procurement produces standard forms including orders, and matches orders against supplier’s invoices and analyses expenditure against budgets.

Allocation: Allows the allocation of a vehicle to a department, cost center, driver or employee as per the requirement.

Requisition: Allows the employee of the company to make a requisition for the expenses to be incurred on the vehicle or for a new purchase.

Purchase order: Based on the requisition made by the employee the purchase order is made keeping the check of the budget amount. Purchase order is made for a new purchase and also for expenses to a fuel station or service station.

Delivery Note: This area holds the information about the Delivery Note received from the supplier and compares it with the actual purchase order made and then records it.

Bill: Keeps track of the bill received from the supplier after checking the bill with the Delivery Note received. This facilitates the user in reconciling the bill with the Delivery Note.

Log Book:  Keeps track of the vehicle movement on day-to-day basis (official / personnel).

Maintenance contract:  Holds the information of the maintenance contract the company has got into and acts as a support in case of a break down or repairs. This also takes care of the duration of the contract amount etc.

This module provides a system for identifying critical test and preventive maintenance dates.  It uses data extracted from the

Fleet Administration module to produce lists of Services Due, MOT’s, etc., which are due in future weeks.  Reliable solution is produced for what is usually a time-consuming and haphazard exercise.

An ideal mechanism for controlling the allocation of work to third parties and subsequent performance monitoring, contractor control raises orders for external jobs. (Allowing for access to historical records).  The module also tracks jobs-in-progress, performs warranty checks and analyses contractor performance, as well as checking cost tolerances for parts and labor and providing budget warnings.

This menu driven facility allows a user to read fuel issue data from a Fuel Dispenser file or Fuel Card (future enhancement) Transactions file.  The data can be stored in a file for intermediate inspection and amendment, before being written across to the Fleet Administration Operating Details file.  This automatically updates the individual vehicle fuel usage, costs and distance records.  In addition, reports are available at fuel transaction level.


  • System Management

 

This base module meets the user’s individual requirements by providing a range of flexible system parameters while ensuring that “a standard system” is implemented.  These parameters include the settings required for smooth transition of the system, which can be independently handled by the user based on the business rules of the organization or branch. This helps the user in setting a rule for the application and maintaining uniformity and simplicity through out the system. The following are the units.

Default setting: This screen facilitates the user to set the default values for the system such as the currency, date format, the default printer, backup directory and the numbering system for various numbers required to be generated in the system as (Auto/Manual) as per the user requirement.

Backup: This screen allows the user to take the backup to the directory or drive specified in the setting. User can also change the destination if he wants.

Restore: This screen allows the user to restore the data from the back up.

  1. Integrating with Other System

 

This facilitates the system to integrate with other Isoft suite of products, which directly transfers and retrieves the information required for the module with simple settings.

  1. User Administration

 

This module enables the administrator of the system to create user, give rights to the user(s) based on the requirement. The rights can be amended or enhanced as and when required.

How Long Vehicle Related Information is Held

 

This depends very much on the disk capacity of the hardware platform in use.  Information can be stored indefinitely, but each user has his own specific parameters and criteria when it comes to archiving vehicle maintenance and costing files.
                       
Security

Isoft software is fully username and password protected at unit level. It allows only the System User to identify the rights to the user and allows changing the right of the user as and when required. The user himself and the administrator of the system only can change the password of the user. More over the rights can be given differently to different branches in the organization. Over and above this, the security is so tight that the information of any change in the system is maintained as a history and will remain in the system till the administrator of the system deletes the information.
